How we run Free Your Space

How we stopped running our business through six different apps.

I tried just about every management app I could find. When none of them handled the whole business, we connected the pieces ourselves. It worked—until it didn't, which was often.

Professional organizers are very good at creating systems. That includes convincing ourselves that the collection of apps, spreadsheets and manual workarounds running our business is a system.

I know because I did exactly that at Free Your Space.

None of the individual tools was the problem

We used Google Sheets and Docs, QuickBooks, PandaDoc, Make and, at one point, Square invoicing. Each tool did the particular thing it was built to do. The problem was that our organizing jobs did not live in any one of them.

A client's scope might be in a document. Products could be in a spreadsheet. The invoice lived somewhere else. Scheduling employees meant contacting everyone and piecing together their availability. Notes and updates traveled through emails and texts.

Make was supposed to connect everything. When it worked, it felt clever. When an integration broke, information stopped moving and we often did not realize it immediately. The owner of the business—that was me—was still the person responsible for remembering how every piece fit together.

We had not created one reliable business system. We had created several systems that depended on me to keep them connected.

The mistakes were not theoretical

When we used Square for invoicing, products were left off invoices. We had no dependable way to see where products were, whether we already had them or what still needed to be purchased for a job. We bought the same things more than once, then discovered the extras sitting in a garage or storage unit later.

Scheduling created another layer of work. Before offering a client a date, I needed to know which employees could work. Once a job was booked, everyone needed the address, timing, scope and notes. Texting the team worked only as long as every message reached the right person and nobody needed to take over for someone else.

Every workaround created another place to check and another opportunity to miss something.

The real problem

The apps organized documents, appointments, invoices and tasks. We needed software that organized the job.

What finally changed

We moved Free Your Space to Portara, a business app built around a simple idea: everything about the job should stay with the job.

Now the estimate includes the actual services and products for the job. The client can review the scope, sign and pay in the same step. If the job changes, we update the job. When it is time to invoice, we invoice from those job items, so we can easily see what has already been billed and what remains.

We can see employee availability before committing to a date, send job offers without starting another group text, and give the team a briefing with the information they need. Job notes create a running log, which makes it much easier to bring another employee up to speed.

Products, purchasing information, receipts, estimates, invoices, payments, employee hours and notes are connected to the same job. I no longer have to reconstruct the story from several different apps.

The software we could not find

If your collection of apps works for you, I understand why you are reluctant to change it. You put real effort into building it. We did too.

But familiar is not the same as reliable. Our old setup technically worked, yet it still allowed invoice items to be missed, products to be purchased twice and important job information to be scattered across the business.
